Manage access⚓︎

By default, when Portal AI is enabled for a report, all users and groups that have access to that report can also use Portal AI on it. You can selectively control who has access to Portal AI on a per-report basis through the report access management pages.

How access control works⚓︎

Portal AI access follows the same hierarchical model as report access in PowerBI Portal:

  1. User-level access: If a user has a direct report access assignment, the AI access setting on that assignment takes priority.
  2. Group-level access: If a user has access through a group, the group's AI access setting applies.
  3. Report-level default: If neither user nor group overrides exist, the report's own AI enabled setting is used.

This means you can enable AI at the report level and then selectively disable it for specific users or groups, or vice versa.

Control access for a user⚓︎

  1. In the PowerBI Portal navigation menu, go to Report Access (or navigate to the report's access list).
  2. Find the user-report access entry you want to modify, and click Edit.

  3. Look for the Portal AI Access toggle.

  4. Toggle it on or off depending on whether you want this user to have AI access for this specific report.

  5. Save the changes.

Control access for a group⚓︎

The process is the same for group-level access:

  1. Go to Report Access and find the group-report access entry.
  2. Click Edit.
  3. Toggle the Portal AI Access setting.
  4. Save the changes.

All members of the group will be affected by this setting, unless they have their own individual user-level access override.

Example Scenarios⚓︎

Enable AI for everyone except specific users⚓︎

  1. Enable Portal AI on the report (in the report editor's Portal AI tab).
  2. All users with report access will have AI access by default.
  3. For users who should not have AI access, edit their individual report access and disable the Portal AI Access toggle.

Enable AI only for a specific group⚓︎

  1. Enable Portal AI on the report.
  2. For groups that should not have AI access, edit their group report access and disable the Portal AI Access toggle.
  3. Keep it enabled only for the desired group.

Tip

Remember that user-level settings take priority over group-level settings. If a user belongs to a group with AI disabled, but has their own individual access with AI enabled, the user will have AI access.
